Key Functions:
- Institute performance management assessment and training for staff in order for annual assessment of all departmental staff to align individual goals to Service division
- Identify policies, procedures, guidelines and service level agreements to be developed
- Workshop with all relevant parties
- Continuously search for cost reduction measures without compromising acceptable quality and essential features by auctioning internal & external audits of the service delivery environment
- Design a system to measure service delivery and excellence of the service providers with regards to service level agreements
- Minimise the risk associated with transport service delivery to the Faculty by implementing a code of practice and service provider questionnaires.
- Review contract requirements on an ongoing basis as and when required
- Timeously facilitate and coordinate tender process for all current and new services
- Manage all current and new contracts within the various areas of responsibility, including security, facilities, cleaning and transport
- Strengthen internal communication in terms of role, responsibility and activities of the Operations Division by presentations and dialogues with Faculty and departments
- Attend meetings like disaster Management, Crisis Committee meetings, Risk management and Security Advisory Committee meetings
- Directly manage budgets within various areas of responsibility
- Prepare budgetary information, projections and year to date analysis
- Monitor adherence by service providers to policies regarding contractual finance issues
Qualifications & Experience:
- 3-year qualification in in Services industry, post qualification preferred.
- 5 -10 years’ senior office administration experience of which at least 2 years must be in a service environment
- Working knowledge of health & safety regulations pertaining to service industry
- Working knowledge of systems and policies within the University would be an advantage
- Working knowledge of related industry regulations and legislation specific to various areas of responsibility (security, cleaning and transport)
- Excellent communication and writing skills in English
- High level computer literacy.
