Manage the front-line Human Resources Team to deliver an effective, efficient and legally compliant recruitment and human resource service across Gibela which meets the needs of the organisation and achieves value for money.
Assist the HRBP’s to, propose, research, consult on and implement new initiatives that promote Gibela as an employer of choice, which are legally compliant and maximise value for money from the employee benefits budget.
Responsibilities:
Adheres to and enforces the Company's HR Policies, Practices and Procedures.
- Updates HR Systems accurately and timeously (ALPS).
- Provides on-time and reliable service to both managers and employees.
- Ensures confidentiality is maintained.
- Supports the development and implementation of HR initiatives and systems.
- Provides counseling on policies and procedures.
- Be actively involved in recruitment and Internal movement. Internal Movement forms to be completed. Correct employment contracts to be signed off and checked before extending offers to candidates.
- Monthly systems Audit to be conducted.
- Compile ED reports on monthly basis.
- Work closely with the payroll team to maintain data integrity and accuracy.
- Update Staffing Plan Monthly with HRBP’s and Line managers.
- Plan for HR Audits with HRBP’s and communicate Audit Risk/Gaps if identified.
- Support the management of internal disciplinary and grievance issues for junior non-scheduled employees.
- Maintain employee records (attendance, EEO data etc.) according to policy and legal requirements
- Responds timeously to requests for information from all stakeholders;
- HR and Benefits Administration consisting of: Permanent and Fixed Term Contracts of Employment and associated paperwork; Termination of Employment and associated paperwork; Medical Aid/Pension and Provident Fund Applications and Withdrawals; Paperwork with regards to Promotions, Transfers, Retirements, Ad-Hoc Increases, Confirmation of Employment; Submitting of Medical Aid Applications and assisting with queries, Long Service Administration, etc.
- Ensures new staff are accurately processed onto the system (ALPS).
- Updates Monthly Recruitment tracker and IR Matrix.
- Submitting of correct payroll information timeously to Payroll Manager for final processing.
- Ensure new staff attend the Induction Programme. - Participates in special ad hoc assignments as dictated by HR requirements, policy changes, increment cycles etc.
- Maintenance of HR Database Information.
- Maintenance of personnel files.
- Ad-hoc HR Admin duties.
- The HR Officer may be requested to carry out any reasonable tasks allocated by the Function Head or Department Head.
Expatriate Administration:
- Facilitate Security Briefing.
- Facilitate Tax Entry meeting between expat and service provider.
- Facilitate Bank Account meeting with service provider;
- Prepare and submit accurate monthly payroll to Payroll Manager.
- Facilitate the preparation of Section 11 (2) invite letters.
- Facilitation of lease agreement renewals.
- Assistance and facilitation of permit renewals and visa renewals.
- Liaison with rental agents.
- Payment of invoices relating to host country benefits, e.g. schooling, rentals, English lessons, relocation, vehicle lease process etc.
- Assistance with ensuring PO’s are raised for annual SARS tax returns for expatriates.
- General support to Expat community.
- Ensure filing is updated and maintained.

Educational Requirements:
- Matric/Grade 12 and a relevant tertiary qualification.
- Degree in Human Resource management/ Industrial Psychology.
Knowledge/Experience, skills and competencies
- Minimum 5 years’ experience in the same or similar industry.
- Practical application and an understanding of the HR legislative requirements from governing bodies such as the Department of Labour – Employment Equity, Skills Development etc.
- Above average computer literacy with extensive knowledge of the MS Office suite.
- Be reliable, efficient, and proactive with excellent relationship building and communication skills.
- Attention to detail and ability to plan is paramount for success in this role.
